What this notice covers
This notice is for landscapers using GardenSim on the web or as a home-screen app. It is not a customer privacy notice for the household whose garden you photograph. You are responsible for how you use those photos and for the estimate you send as your company.
On this device
Drafts, photos, your firm details, logo, rate book, and VAT choice are stored in this browser, on this device. They stay there until you wipe them or delete the site data in the browser. GardenSim works without an account.
Optional account
Signing in is optional. You sign in with a code sent to your email. Back up this device saves a private copy of your jobs, photos, company card, rates and preferences in that account. Restore happens only when you confirm it. Signing out does not remove what is on this device.
Photos
Tapping Read the photos or Look sends that request to GardenSim. It is passed to xAI only when you are signed in and that service is connected. A read sends the photos and any landscaper notes on the job. Look sends the garden photo and the included work you marked, not those notes, to try an illustrative after image. A photograph is not a survey. If the house, walls, windows, camera angle, or layout cannot be held, that look is discarded and the real photo stays. Photos are stored on this device when you add them. They also leave this device when you choose a backup in your account or create a customer link. Customer links contain the customer estimate and its photos. Private job notes are left off the link. Anyone with the link can open it. You can withdraw it in Settings, and links stop opening after 90 days. Copies already downloaded cannot be withdrawn.
Help notes
If you send a help note from Settings and mail is connected, the note goes to support@gardensim.co.uk. If a company email is saved on this device, that address is included so we can answer. Customer estimates are not sent with this mail.
Plus
If you start Plus on the web, your card is charged for that subscription. If you buy Plus in the iPhone or Android app, Apple or Google take the payment. Both keep the date Plus runs until. Plus does not turn on from a tap on this phone alone. Quoting does not need Plus.
Lawful bases
Device storage is for your own use of the tool. A photo read or a look is forwarded because you asked for it. Help mail is sent because you asked for help. Plus billing is to perform the subscription you started.
Processors
The website is hosted for us. Email sign-in, private backups and customer links are kept for the account. Photo reads and looks use xAI. Help mail is sent for us. Web Plus is paid by card. Plus in the iPhone or Android app is paid through Apple and Google. Each one only sees what that step needs.
Retention
What is on this device stays until you wipe this device or clear site data. Backups in your account stay until you delete that copy or the account. Deleting the account also removes its customer links. When a link expires, people can no longer open it, but that does not itself delete the stored copy. Essential secure cookies keep you signed in, and counters on the account keep photo reads, looks, and customer links within their limits. Help mail is kept only as long as needed to answer you. Billing records follow the card provider, Apple, or Google, plus UK tax rules.
Your rights
You can ask for access, correction, erasure, restriction, or a copy of personal data we hold, and you can object to processing that uses legitimate interests. Write to support@gardensim.co.uk. You can complain to the Information Commissioner's Office at ico.org.uk.
Children
GardenSim is for trade use. It is not for children.
Changes
If this notice changes, the new wording will sit on this page. The date at the foot is the last edit.
